Complete transformation: 9 → 24 people, 5 tools → 1 system
Problem

A creative agency (3D visualisation, VR, branding) was scaling from 9 to 24 people. Data scattered across 5 tools, decisions lost on WhatsApp, finances in spreadsheets. A PM had to ask 3-5 people to get the status of one project. Leads waited 48h for a response. New hires joined with no onboarding system.

Solution

I built a complete operating system from scratch. A CRM with routing to the right sub-brands and departments, a project management system with an AI dashboard for PMs, a financial system with real-time revenue and cost visibility, and an AI knowledge base with an onboarding bot. Process first - tools second.

Result

Pipeline visibility from ~30% to ~95%. Lead response from 48h to 4h. PMs see every project status without asking anyone - 24/7 visibility. New people onboard in days. The CEO sees revenue and costs in real time instead of with a one-month delay.

Local Investments - Operations panel for a property developer

From Excel to a system: CRM, finances, tracking and a sales knowledge base
Problem

A property developer was running 4 investments with 65+ apartments. Leads from website forms landed in email and were manually copied into Excel. Nobody knew how many units were available, reserved or sold - without making a phone call. Finances per investment were invisible. Progress on marketing materials only tracked on WhatsApp. Sales reps had no single source of truth.

WeDoPlaces - Operating system for an interior design studio

Project management, finances and a new B2C revenue stream
Problem

An interior design studio was running projects lasting months - with no single place showing each project's status, materials and client communication. Finances per project invisible. Clients wanting a quick consultation dropped off - the studio only offered full projects. The architect was losing time to emails instead of work.

Solution

An operating system tailored to the design industry: a project tracker with full order history, materials and PM updates, a financial system with per-project revenue and cost visibility. Alongside this - a new B2C service line: 3 online consultations with automated booking, payment, intake form and summary flow.

Result

Frequently asked questions

How long does implementation take?

The audit is 3 days. Full implementation - typically 4-6 weeks depending on the scale of the company and what's already in place. I always run a diagnosis first to give you a concrete timeline - there's no point guessing without seeing how the company operates.

Is this only for creative or marketing agencies?

No. The first implementation was in an agency, but operational problems don't know industries. If your company has 10-50 people and as CEO/Founder you're spending time firefighting instead of on strategy - the problem is the same regardless of sector.

We already have a CRM/tools/workflow - does working together still make sense?

Yes. A tool alone isn't a system - a system is tool + process + people who know how to use it. Companies often have a CRM that's essentially a better-looking spreadsheet. I assess what works and build around what's already there - I don't turn everything upside down unnecessarily. I put it together to make future growth easier.

What does your work look like during implementation?

I'm not a consultant who shows up for a workshop and leaves a presentation. I join the company, talk to people, build the system and teach them how to use it. The way we work is adapted to each company: sometimes I'm available a few days a week, sometimes we work in sprints. What counts is the result - a working system that helps instead of getting in the way.

What happens after implementation?

We wrap up when the system is running and your team knows how to use it. That's the goal - so you're not dependent on me. If a few months later something needs updating or the company enters a new stage - we can work together again.
